Everything it says
Welcome
Hi, and welcome! This is the full guide to FlexVivid: how a project starts, how you use your portal every day, and how a problem goes from one button press to a fix that's live. Take it at your own pace. You can jump to any chapter below.
How it starts
Every project starts with us learning how your business really works. We follow your work from the first call to the paid invoice, and write down every place something gets retyped, waits on someone, or depends on memory.
Then you get a plain English plan: what we found, what each problem costs you, and what we'd build first. Each phase has a fixed price, agreed before any work starts. In your portal, Timeline and pricing always shows that plan, phase by phase, and where things stand.
Signing in
When your portal is ready, you get an invitation by email. Open it, choose a password, and agree to the terms once. After that, signing in takes you straight to your home page. And if you ever forget your password, there's a Forgot password link right on the sign in page.
Your home page
Your home page answers one question: what needs me? At the top you see how many issues are open, how many are waiting on you, and how many were fixed in the last thirty days. Below that, the things waiting on you come first, then everything that happened recently. The bell in the corner tells you when something new comes in.
Your app, with support beside it
Open your app from the portal, and it opens right there, with the support panel beside it. The same panel is built into your app itself, so whether you're in the portal or in your own system, help is always one click away.
Reporting a problem
To report something, press Report a problem. First, pick what it is, in plain words: something is broken, or something new you'd like. Pick the system it's about, give it a short title, then write what happened, the way you'd tell a coworker.
A picture helps a lot. You can paste a screenshot, drop in a file, take a picture of your screen, record a short voice note, or even record your screen while you talk us through it. Before it's sent, you see and hear exactly what we'll get.
Got a few things at once? Press Save to list after each one, and when you're done, Send all. They arrive together, and you get one email to say we have them.
What happens next
Now we get to work. We trace your report through your system and its history, using AI to speed up the first pass, and prepare a change. The status always says who's being waited on, in plain words. If we need something from you, it says so clearly, and you can answer right on the issue, or simply reply to our email.
You'll also see a short note called What we found. It explains the cause in plain English, no codes and no jargon, so you always know what's going on.
Trying the fix
When a fix is ready, the issue says so: your preview is ready for you. It opens a private copy of your system with your own information in it, so you can try the change exactly the way you'd use it.
If it's right, approve it, and it goes live. Your approval is recorded as yours. If it's not right, send it back with a short note about what's still off. We'll take another look, and every version stays on the issue, oldest first, so you can always see what changed.
Messages and tasks
Messages is your inbox with us. Every conversation and every issue thread is in one place, with the unread ones marked. And when we need you to do something, like approving a design or sending a document, it shows up under Tasks. Press Mark done when it's finished.
Connections
Some systems need to talk to your other accounts, like your email, your accounting, or a payment service. Connections lists exactly which ones we asked for. Paste a key once, or press Connect for Gmail or Outlook. Saved keys only ever show their name and last four characters.
How your app works
Want to see how your app works, step by step? The outline lays it out in order. If a step should work differently, press Ask for a change right beside it, and it comes to us as a change request.
Documents and projects
Documents holds the proposals and working files we've shared with you. And when you're ready for something new, go to Projects and press New project. Describe what you need, and you can follow its status right there.
Billing
Billing shows your invoices and receipts, and each one opens as a clean document you can download or print. Only the people you choose can see it.
Your team
Under Team, invite the people you work with. Each person gets their own sign in. You decide who can accept fixes, who can see billing, and who can mark tasks done. And Activity shows everything that happened, newest first.
That's it
That's the whole platform. Report a problem with one button, try the fix on a preview, and press Accept when it's right. Everything else lives in your portal. If you have a question, call us at 848-285-5243, or start a conversation at flexvivid.com. Thanks for watching!
