Derived, never stored
We compute totals from the underlying records every time rather than keeping a running figure. A stored total is a number that can drift from the thing it describes — the payment lands, the counter write fails, and the report says something that is not true, with nothing to say so. Deriving it is slightly more work and removes a whole class of quiet error.
Fewer numbers, more trust
A dashboard with thirty figures on it gets looked at twice. The useful version has four, they are the four you actually act on, and you believe them. Working out which four is part of the drawing stage, not something to decide after the software is built.

What should a small business dashboard show?
The handful of numbers the owner actually runs on, such as sales, what is owed, what is overdue, stock that needs reordering, and jobs that ran over. They should be current every day and come straight from the records, not from a report somebody assembles at the end of the month.
Where do the numbers come from?
From the same records your team already works in: the orders, invoices, jobs and stock in your system. Each figure is calculated from those records when you look at it, so it can always be traced back to the transactions behind it.
Can I ask a question instead of opening a report?
Yes. You can ask in plain English, such as "who hasn't paid this month," and get an answer drawn from your data, with the records behind it shown so you can check it.
